A quote is an order for a customer that contains special pricing. When entering a quote - the part, special pricing, and expiration (promised) date will be set up. No ship quantities are entered, and therefore, no inventory is committed. Quotes will be entered from the O/E System Management menu, choice (T) Enter Quotes.
When you select Enter Quotes from the menu, you will only see orders that have been set up as quotes. You will enter the order exactly the same as a regular order, including all parts with their special prices. You will enter the quote expiration date in field #7. Promised. If the items on the quote should be included in free freight calculations, enter Y in field #19. Free Frt. If all the items on the quote should not be included in free freight calculations, respond N.
Special prices are entered on the line item screen by pressing ALT K and entering the special price. Note: you must enter each part that qualifies and its associated special price. Parts that are priced by another part must be entered individually on a quote as not all priced-by parts may qualify for the special price.
To search for a quote for a customer, select Enter Quotes from the menu and press ALT K. Choose option 2- Customer from the menu. In the window that pops up at the bottom of the screen, leave the location field blank and enter (TAB/SEARCH) for your customer number. Default the remaining fields on the screen. Once you press enter, you will only be show quotes for that one customer.
There are two new control record questions that deal with the quote process. These are found by going to Order Entry, System Management, Set Up System, Quote Parameters.
Skip Quote Orders in Regular Order Entry? when this is set to Y any order that has field #18. Quote set to
Y will not be able to be accessed from the regular Order Entry menu choice. You will only be able to access
the quotes from the Enter Quotes menu selection.
Note: user security must be set up for any user that will be entering quotes. The name of the program
is OE1QUT. Also, any custom menus must have a new selection added for a user to enter quotes.
Do you want to check quotes for pricing? when this is set to Y, when a user enters a line item for a
customer that has a quote, if that part for that customer exists, the pricing from the quote will be used if
the system date is less than or equal to the expiration (or promised) date on the quote.
Note: you should only set up one quote per customer. When the quote expires, you should delete the
quote to improve system speed when entering orders.
A log file is created (/tmp/oe1qut.MMDDYY) that tracks orders that have received special pricing from a
quote.
If a part for a particular customer is on a quote, the order entry screen will display the note "Prices from quote" above the size line.
